Privacy Policy

How Music Is Mental Media handles information you share with us and how to reach our Privacy Officer.

Music Is Mental Media (MIMM) is a music publication based in British Columbia, Canada. This policy explains how we handle information when you browse the site, contact us, submit work or a personal story, apply to contribute, or take part in From the Room. A submission does not automatically become public or enroll you in marketing.

Information you send us

Our contact, music, contributor, and partnership forms collect the details shown on each form so we can review and respond to that specific request. Depending on the form, these may include your name, email, organization, location, artist or event details, links, portfolio, budget range, message, and acknowledgements. Music submissions use links rather than uploaded audio files. These forms send an internal email to the relevant MIMM inbox; they do not create a public account or automatically publish your information. We do not use an ordinary inquiry as newsletter consent.

Listener stories

The Share Your Story form asks for your name, email, preferred credit, the music or event involved, your story, and separate choices about contact, interview, and publication consideration. It also asks you to confirm that you are at least 18 and acknowledge the form’s other statements. A story may include sensitive information about health, grief, relationships, or other personal experiences; please share only what you are comfortable having our editors review.

Validated story submissions are saved as private Draft records in our WordPress Listener Story Queue and also generate an internal editorial email. The private record can include your answers, the page or show from which you submitted, editorial status, and private review notes. It is not publicly searchable or automatically published. We review your permission choices before any contact or publication. We may ask follow-up questions, edit material with appropriate editorial care, decline it, or publish a separate article only where the relevant permissions and editorial checks support that decision. Submitting does not transfer ownership of your story to MIMM.

Contributors and reviews

Contributor applications arrive in our editorial inbox for assessment; applying does not create a WordPress user account. If we work with a contributor, authorized editors may maintain a private Contributor Review Draft containing the work, contributor attribution, show details, rights/source notes, and editorial notes. The private Draft is not the public article. Publication, if approved, happens through a separate standard Post. Staff WordPress accounts are created and managed separately from public forms.

From the Room and Instagram

From the Room currently uses manual editorial review of public Instagram posts or Reels. If you post publicly, tag @musicismentalmedia, and use #MIMMLive, we may consider your post for a show page. Participation is a signal for consideration, not automatic publication or a transfer of media ownership. Our private moderation records may contain the public Instagram URL, account name or media ID when available, discovery source, associated show, moderation state, and editorial notes. We do not intentionally download or store the underlying fan photo or video for this feature; the source remains on Instagram. We can remove an embed from MIMM on request, but removal from Instagram is controlled by the account owner and Instagram.

No post appears through this feature without editorial approval. Automatic Meta discovery has not been enabled or accepted as a live feature. If an approved Instagram embed appears on our site, your browser may connect directly to Instagram/Meta, which may receive technical information and use its own cookies or other technologies.

The Mood Drop email interest

The current newsletter form collects an email address, optional first name, and your interest in The Mood Drop. It sends a message to a MIMM inbox. It does not currently create a Hostinger Reach subscriber or start newsletter delivery. We will not treat a contact, submission, or interest message as permission for unrelated marketing. Before regular email dispatches begin, we will use a subscription process that records consent and provides a working unsubscribe method. You may ask us to remove an interest request at any time.

Site usage and analytics

Our hosting and security systems may process technical information needed to deliver and protect the site, such as IP address, request time, browser information, and error or security events. We use Hostinger for website hosting and email routing, and LiteSpeed Cache for page caching. Exact host-controlled log retention periods have not been verified; we do not claim a fixed period for them.

Google Analytics 4 is active through Site Kit by Google. Its page tag helps us understand site usage and may use first-party identifiers or cookies such as _ga, along with browser/device and interaction information. Search Console and PageSpeed are administrative measurement tools, not separate advertising tags on every visitor page. We have not found active Site Kit Tag Manager or AdSense modules. You can manage browser cookies and use Google’s available Analytics opt-out controls. See Google’s data-collection explanation.

Embedded music and video

Some pages include in-page Spotify players or YouTube videos; approved From the Room items may include Instagram embeds. Loading an embed can send your browser’s technical information to that provider and may allow its cookies or other processing under its own policy. An ordinary outbound link to a music service is different: that service receives your visit when you choose to follow the link. We do not represent every linked service as an on-page tracker.

How information is used and shared

We use information to respond to requests, assess submissions and contributor applications, carry out editorial work with the permissions given, moderate From the Room, maintain attribution and rights records, operate and protect the site, and understand aggregate audience use. Access to private editorial records and site administration is restricted to authorized staff. Relevant information is processed by our hosting/email provider and, when a page uses their services, Google, Spotify, YouTube, or Instagram/Meta. We do not sell submitted stories or contact details. We may disclose information when required by law or where necessary to address a specific legal or safety issue.

These providers may process information outside Canada, depending on their systems and the page or service used. Information processed elsewhere may be subject to that location’s laws. We have not verified a single fixed processing country for every service.

Retention and safeguards

We keep identifiable information only while it serves the reason it was collected or a documented editorial, attribution, consent, legal, or business need. Closed inquiries, submissions, applications, and moderation records are reviewed manually at least quarterly for deletion, de-identification, or a documented continuing need. There is no automatic expiry for private Listener Story or Contributor Review Drafts. Published editorial work and a proportionate rights/consent trail may need to remain longer than an unused submission. Some decisions affecting an individual may require a minimum retention period under applicable law. Host-controlled logs and backups may follow separate schedules that we cannot precisely state here.

We use HTTPS, access-controlled WordPress administration, and non-public editorial records, but no online system can be guaranteed completely secure. We limit access according to the work being done and review our handling practices as the site changes.

Your choices and requests

You can ask whether we hold information about you, request access or correction where applicable, ask for deletion or removal where appropriate, withdraw consent for future use where applicable, ask to remove a From the Room embed, or raise a privacy concern. Our designated privacy contact is the Privacy Officer. Email privacy@musicismentalmedia.com. We may need to verify your identity before disclosing or changing a record. We will explain if we need to retain limited information for a documented editorial, rights, legal, or other permitted reason. Withdrawal does not automatically erase already-published editorial material, but we will review requests carefully.

Changes to this policy

We will update this page when our collection, integrations, or practices materially change and revise the date above. Privacy questions and complaints can be sent to the same contact channel.
